Standard Operating Procedures
Our internal standards for data integrity, AI ethics, and service delivery.
1. Data Ingestion & Validation
All data entering the SmokeSignals AI ecosystem must undergo a rigorous validation process:
- Schema Verification: Ensuring data matches required formats for AI processing.
- Sanitization: Removal of redundant or corrupt records to maintain signal quality.
- Source Attribution: Every data point is tagged with its origin for auditability.
2. AI Model Governance
We maintain strict oversight of the AI models used in our GTM systems:
- Bias Monitoring: Regular testing to ensure models do not produce skewed or discriminatory outputs.
- Human-in-the-Loop: Critical strategic recommendations generated by AI are reviewed by our senior consultants before delivery.
- Version Control: All model iterations are documented and can be rolled back if performance degrades.
3. Data Handling & Storage
Our storage protocols are designed for maximum security and availability:
- Isolation: Client data environments are logically separated to prevent cross-contamination.
- Encryption: AES-256 encryption for data at rest; TLS 1.3 for data in transit.
- Backups: Automated daily backups with 30-day retention cycles.
4. Incident Response
In the event of a system anomaly or security concern:
- Identification: Automated alerts trigger immediate investigation by the engineering team.
- Containment: Affected systems are isolated within 15 minutes of detection.
- Communication: Impacted clients are notified within 24 hours of a confirmed incident.
5. Service Termination Protocol
Upon termination of a service agreement, the following steps are executed:
- Access Revocation: All client credentials and API keys are deactivated.
- System Decommissioning: Custom integrations and applications are disabled as per the Terms of Service.
- Data Archival/Deletion: Client data is archived for 90 days before permanent deletion, unless otherwise specified in the contract.
